Why Campaign Reply Counts May Differ from AI SDR Inbox Counts

Understanding the Difference

If you notice different reply numbers between your Cold Email Agent campaigns and your AI SDR inbox, don't worry—this is expected. The counts show different things depending on where you're looking.

The Reply Metrics in Cold Email Agent

Your campaigns track replies in three different ways:

1. "Replied" (Graph Metric)

This appears on the Campaign Performance Trend chart as an orange line. It shows all unique people who replied to your campaign, including:

  • Genuine interested responses

  • Out-of-office auto-replies

  • Unsubscribe requests

  • Any other automated responses

Each person is counted once, even if they sent multiple replies.

The "Replied" graph metric counts every unique person who responded, regardless of the type of response.

2. "Replies" (Card/Table Metric)

This number appears in your campaign metrics cards and the campaigns table. It's similar to the Replied count on the graph, but calculated in a different way as an estimate.

3. "Positive Replies"

This metric appears in your campaign analytics with a thumbs-up icon. It shows only replies that indicate genuine interest—responses where someone wants to learn more, schedule a meeting, or continue the conversation. This excludes:

  • Out-of-office messages

  • Auto-replies

  • Unsubscribe requests

  • Not interested responses

A healthy campaign targets at least 2% positive reply rate from contacted leads.

How AI SDR Inbox Counts Work

Your AI SDR inbox organizes all replies into categories for easy triage:

  • All - Every reply thread from your campaigns

  • Interested - Positive, engaging responses

  • Not Interested - Explicit declines

  • Out of Office - Auto-replies indicating absence

  • Bounced/Unsubscribed - Delivery failures and opt-outs

  • Other categories like Meeting Scheduled, Needs Attention, etc.

When you select "All" in your AI SDR inbox and filter to a specific campaign, the count should match the "Replied" number on your campaign graph (all unique people who replied).

Why the Numbers Look Different

The most common reason for apparent discrepancies is viewing a filtered subset instead of all replies. Here's what to check:

Check Your AI SDR Filters

Make sure you're viewing the complete picture:

  1. Go to your AI SDR inbox

  2. Click "All" in the sidebar (not a specific category like "Interested" or "Out of Office")

  3. Expand all category sections in the sidebar (some may be collapsed by default)

  4. Clear any campaign filters to see replies across all campaigns, or select the specific campaign you're comparing

  5. Check the date range selector to ensure it matches your campaign period

If you're viewing only "Interested" or another category in your AI SDR inbox, you'll see fewer replies than the campaign "Replied" count, which includes all response types.

Account for Sync Delays

Replies sync between your email provider and AI SDR inbox via webhooks, which typically take 5-15 minutes. During high-volume periods, delays may be longer.

To refresh your data:

  1. Go to your campaign analytics

  2. Wait a few minutes if you just received new replies

  3. Refresh your browser

  4. Check both the campaign graph and AI SDR inbox again

Only new replies received after connecting your email provider will appear in AI SDR. Past replies before the integration won't backfill automatically.

Comparing Counts Accurately

To verify your numbers match:

  1. In Cold Email Agent: Note the "Replied" count on your Campaign Performance Trend graph

  2. In AI SDR: Select "All" in the sidebar and filter to the same campaign

  3. Expand all response category sections (Interested, Not Interested, Out of Office, etc.)

  4. The total count of reply threads should match the campaign "Replied" number

If you're comparing "Positive Replies" from your campaign to AI SDR, look only at the "Interested" category in your inbox—this filters out automated and disengaged responses the same way.

  • Take screenshots of both the campaign graph and your AI SDR inbox (with filters visible)

  • Note the specific campaign name and date range you're comparing
