What is the Pricing Calculator?

The Pricing Calculator helps you determine optimal pricing for your AI services based on ROI and client value. It calculates value-based retainers and demonstrates clear return on investment to justify your pricing in proposals and client conversations.

You can calculate pricing for two types of services:

  • Cost Saving Services – Automations that reduce labor costs by saving time

  • Revenue-Generated Services – Lead generation, advertising, and other services that increase client revenue

The calculator provides instant results as you adjust inputs, making it easy to explore different pricing scenarios for various client situations.

How to Access the Pricing Calculator

To open the Pricing Calculator:

  1. Navigate to Resources in your dashboard sidebar

  2. Click the Pricing Calculator card in the resources grid

The tool is available to all logged-in organization members regardless of role or plan level.

Cost Saving Services Mode

Use this mode when your service saves client time through automations, process improvements, or efficiency gains.

Inputs You Provide

  • Annual Salary – The yearly salary of the employee whose time is being saved ($30,000 - $300,000)

  • Weekly Hours Saved – How many hours per week your automation saves (0 - 40 hours)

  • Desired ROI Multiple – How many times their investment the client should receive in value (2x - 20x)

What the Calculator Shows

Based on your inputs, you'll see:

  • Monthly Cost Savings – The dollar value of time saved each month

  • Recommended Monthly Retainer – Your suggested fee based on the ROI multiple

  • Client Net Savings – What the client saves after paying your fee

  • ROI Percentage – The return on investment your client receives (displayed in green when ≥100%)

Default settings ($80,000 salary, 20 hours saved weekly, 5x ROI) generate approximately $3,333 in monthly savings and a recommended $667 retainer with 400% ROI.

Revenue-Generated Services Mode

Use this mode for services that directly generate revenue, such as cold email campaigns, paid advertising management, or lead generation.

Inputs You Provide

  • Monthly Fixed Fee – Your base monthly retainer ($1,000 - $50,000)

  • One-Time Setup Fee – Initial setup or onboarding fee ($0 - $50,000)

  • Bonus Structure – Choose from:

    • Revenue Share Percentage (0% - 30%)

    • Pay Per Lead or Appointment (dollar amount)

    • Performance Bonus (dollar amount)

    • No Bonus

  • Projected Revenue Increase – Expected additional revenue your service will generate ($10,000 - $1,000,000)

What the Calculator Shows

You'll receive a comprehensive breakdown including:

  • Package Structure – Setup fee + annual retainer + estimated bonus

  • Total Package Value – The complete cost to the client

  • Client Net Revenue – Revenue generated minus your total package

  • ROI Multiple – How many times their investment the client receives

  • Monthly Investment – Amortized monthly cost including setup

  • Performance Metrics – Visual indicators of deal strength

When your pricing shows strong ROI metrics, the calculator highlights these with success indicators to help you present compelling proposals.

Using Calculator Results

After calculating your pricing, you can:

  • Adjust inputs in real-time – Results update instantly as you move sliders or change values

  • Reset to defaults – Click "Reset to Defaults" to return to standard settings

  • Capture results – Take screenshots of your pricing breakdown for proposals

The calculator currently operates in USD only. There is no built-in export feature, so use screenshots or manual notes to save your pricing scenarios.

Common Issues

Can't Find the Pricing Calculator

Navigate to the Resources section from your dashboard sidebar and look for the calculator card icon. Avoid using direct links that may be outdated—always access through the Resources page.

Results Seem Off

The calculator automatically clamps values to valid ranges. If you enter amounts outside the min/max thresholds, they'll be adjusted to the nearest valid value without notification.

Low ROI Warning

When your pricing results in ROI below 100%, you'll see a subtle suggestion to adjust your inputs. Consider lowering your fees or highlighting additional value to improve client return on investment.

First-time users may see a tutorial overlay when opening the calculator. Follow the prompts to learn the interface quickly.
