Managing Your Inboxes

The AI SDR organizes replies into three main inboxes:

Main Inbox

View all email replies from prospects across all your campaigns. Use this to monitor overall activity and track responses.

Needs Attention

Conversations flagged for human review appear here, including:

  • Escalated threads - Complex questions, pricing negotiations, or responses the AI couldn't handle confidently

  • Do Not Contact requests - Prospects who asked to stop receiving emails

Always review escalated threads promptly. The AI explains why each conversation needs your input.

AI SDR Disabled

Threads where you've manually disabled the AI appear here. Disable the AI when you want to personally handle:

  • High-value prospects requiring your direct attention

  • Conversations needing nuanced human judgment

  • Pricing negotiations or custom terms discussions

The AI stops responding to these threads until you re-enable it.

Filtering and Organizing Replies

Use filters to quickly find specific types of responses:

  • By campaign - View replies from specific outreach campaigns

  • By response type - Filter by Interested, Not Interested, Meeting Scheduled, Out of Office, Bounced, or Unsubscribed

  • Search - Find conversations by prospect name, company, or keywords

Select multiple threads to mark as read or delete them in bulk.

Working with Individual Conversations

Click any thread to view the full conversation and take action:

  • Select status - Manually mark conversations as Interested, Not Interested, or Meeting Booked

  • Disable AI - Turn off automated responses for this specific thread

  • View history - See all messages with indicators showing which were sent by AI vs. human

  • Quick actions - Star important threads, add to Do Not Contact, or delete

Each conversation displays status badges so you can quickly identify unread messages and thread status at a glance.

Configuring AI SDR Settings

Control how the AI SDR operates in your global settings:

Auto Agent Run

Toggle the AI SDR on or off globally. When disabled, the AI stops responding to all threads automatically.

Call Assignment

Choose how booked meetings are assigned to your team:

  • Automatic - Assigns calls based on team member availability and role

  • Specific member - Route all calls to a designated team member

Team members need Google Calendar connected to appear in the call assignment options and enable automatic meeting booking.

Knowledge Base

Provide custom information about your company, products, or services that the AI SDR uses to personalize responses.

What to Include:

  • Company mission and value proposition

  • Product features and benefits

  • Pricing tiers (if you want AI to discuss them)

  • Common customer success stories

  • Industry-specific terminology

  • Your unique selling points

  • References your products when answering prospect questions

  • Tailors responses to your industry and audience

The Knowledge Base context supplements the AI's core instructions—it won't override the primary goal of booking discovery calls.

Resources

Create links to resources (videos, PDFs, case studies, lead lists) that the AI automatically includes in follow-up emails when prospects don't respond.

How Resources Work:

  • You create a resource with a name, URL, and description

  • Choose which follow-up number it appears in (1st or 2nd non-response)

  • Assign it to all campaigns or specific campaigns only

  • Toggle active/inactive without deleting

  • Name: "Product Demo Video"

  • URL: https://youtu.be/example123

  • Description: "5-minute overview showing how our platform books 5x more meetings"

  • Follow-up: 1st follow-up

  • Campaigns: All campaigns

  • Active: Yes

When to Use:

  • 1st follow-up - Educational content (demos, how-it-works videos)

  • 2nd follow-up - Social proof (case studies, ROI calculators)

Campaign Assignment:

  • All campaigns - Generic resources applicable everywhere

  • Specific campaigns - Industry-specific case studies or vertical-focused content

Click "Add Resource" to create new entries. Expand each resource to edit details, or use the toggle to activate/deactivate without deleting.

Best Practices

  • Check your Needs Attention inbox daily to handle escalations promptly

  • Use filters to track which campaigns generate the most interested responses

  • Disable the AI for high-value prospects where personalization matters most

  • Review Do Not Contact requests immediately to maintain compliance
